Sample AI decision card

Family communication assistant

A fictional district is considering whether staff may use a generative AI tool to draft routine family messages.

Proposed boundary

Staff may use a tool for this purpose only after district approval and only when no student, personnel, medical, or other private information is entered. A staff member reviews and owns every message before it is sent.

People affected

Families, teachers, building leaders, multilingual families, technology staff, and the district privacy lead.

Review-owner role

The district privacy lead reviews the tool and data path. The building leader owns local implementation. The sender owns the final message.

Missing evidence

  • Approved tool and contract terms
  • Retention and model-training settings
  • Translation review expectations
  • Accessibility checks

Smallest useful next check

Test three fictional, non-sensitive messages with the proposed review process. Record where reviewers disagree and what extra guidance they need.

Changed condition to test

What changes if the message concerns a real student absence, behavior issue, or accommodation?
